General move-out instructions for exhibitors

Print this page and keep it with the exhibitor kit you're taking to the show. Following these steps at show close is what keeps your freight from being forced or lost.

Before the show closes

Prior to the close of the show, the General Contractor should give you an MHA — a Material Handling Agreement, also known as a Short Form Straight Bill of Lading. If you haven't received one before show close, go to the General Contractor and request it.

Completing your MHA

  1. Fill in total pieces shipping. This tells us how many pieces to pick up, which can differ from the number we delivered.
  2. Label every piece clearly with your return address and the total piece count. Make sure everything you're shipping is inside your booth space so drayage can locate it easily.
  3. Use a separate MHA for each destination. If materials are going to more than one place after the show, each destination needs its own agreement.
  4. Enter LOADIFY as the carrier, and Surface as the mode. This ensures drayage releases your materials to us without delay.
  5. Check "yes" on the box that reads: "In the event that your carrier fails to arrive to pick up goods, please return goods to show warehouse at exhibitor cost." In the unlikely event this happens, Loadify will reimburse any costs incurred.

Turning in your MHA

Do not leave your MHA in your booth with your goods. These have a way of getting lost. Physically hand it in at the General Contractor or Decorator's desk.

If possible, photograph your completed MHAs and email a copy to Loadify. If that isn't practical, text or email the MHA numbers as soon as you've turned them in.
